Description

Ambleside’s Business Office Coordinator must have a servant’s heart and lead a front office atmosphere that is For The Children’s Sake (Mark 9:35-37), welcoming and serving each person with love and a smile whether it’s with a student, parent, teacher, or visitor. The Business Office Coordinator’s administrative responsibilities include a multitude of administrative tasks along with the desire to help with a variety of tasks.

 

Direct Report: Business Manager

Hours: 40 hours per week (7:45 a.m. – 3:45 p.m., Monday – Friday)

Pay Rate: $18 – $22/hr or salaried equivalent

 

Specific responsibilities include:

    • Be the first impression at the front desk, electronically, and over the phone! Smile! Know every teacher, parent, and student by name and welcome every guest
    • Daily tasks
        • Answer front door
        • Answer phone, return calls, and make parent calls, as needed
        • Answer office emails and reply/take action accordingly
        • Attend to student and teacher needs, including helping students when ill or caring for their playground wounds
        • Prepare morning coffee and as needed for events
        • Verify and complete student attendance each day
        • Receive mail and packages, distribute accordingly
        • Answer inquiries about school activities and policies from parents
        • Support teachers by making copies and providing supplies for classrooms
        • Any additional front desk/office duties, as needed
    • Manage parent volunteers – setup Sign-up Geniuses and monitor them regularly, send out reminders, send thank you notes, and proactively fill gaps with other volunteers, as needed
    • Manage background checks and driver records for mentor and parent volunteers
    • Inventory and purchasing of academic and non-academic supplies
    • Event coordination for school events – manage registration, ensure all events are on school calendar, order supplies, coordinate with host venue, coordinate setup/cleanup, and help at event
    • Manage office machines/services (copier service, shredding service)
    • Facilitate office communications including drafting and sending school-wide emails/announcements and work with Communications Director to maintain accurate contact information for entire community
    • Work with Principal, Business Manager, Assistant Principals, and other support staff to complete short and long term projects, as needed. Projects will include, but are not limited to: setting up student Exam templates, setting up Reports of Growth templates, managing student academic records, scheduling parent/teacher conferences, and preparing mailers/flyers
    • Preparing school supplies for upcoming school year (spring/summer)
    • Occasionally fill in for morning drop-off, carpool duty, lunch monitoring, and recess duty
    • Facility support
        • Work with Assistant Principal and landlord to facilitate Ambleside’s needs and access at current facility
        • Schedule and manage Safety Drills
        • Manage and keep office supplies and kitchen stocked and clean
        • Support expanded facility needs as they arise

  • Comfortable using basic technology and helping others with basic technology needs
  • Able to write clear, grammatically correct, and on-message office communication
  • Have 3+ years of administrative expertise
